Who are we?

What data do we process and why?

• Appointments: name, email address, phone number, chosen treatment(s), date and time, and any comment. Purpose: to schedule, confirm and remind you of your appointment and to contact you if needed. Legal basis: performance of the contract.
• Waiting list: name, email address, phone number, preferred day and treatment. Purpose: to let you know when a spot becomes available. Legal basis: performance of the contract (at your request).
• Gift cards: name and email address of the requester, name of the recipient, amount, gift card code and personal message. Legal basis: performance of the contract and statutory (tax) retention obligation.
• Web shop orders: name, email address, phone number (optional), delivery address for shipping and the products ordered. Payment is handled by Mollie; we do not see any bank details. Legal basis: performance of the contract and tax retention obligation (7 years).
• Service emails after an appointment (a request for a review, a reminder to book a new pedicure or gel polish). Legal basis: legitimate interest. You can unsubscribe with one click in every email.
• Newsletter and Voque Insiders (digital loyalty card): only if you give separate consent for this. You can withdraw that consent at any time. Legal basis: consent.

We do not ask for any health data via the website. Do you have a condition that is relevant to your treatment? Please discuss it at the salon.

How long do we keep your data?

• Appointment and client data: up to 24 months after your last appointment; after that it is automatically anonymised.
• Waiting list: a maximum of 3 months.
• Copies of sent emails: a maximum of 3 months.
• Gift cards and financial data: 7 years (statutory tax retention obligation).
• Log of changes to appointments (audit log): 24 months.

Who receives your data?

We never sell your data. We work with the following processors, with whom we have made (data processing) agreements:

• Vercel Inc. – website hosting, storage of photos and backups (EU region Frankfurt) and, only with your consent, anonymous visitor statistics (Vercel Web Analytics, without cookies).
• Neon Inc. – database (storage in the EU region Frankfurt).
• Resend Inc. – sending emails.

Some of these parties are based in the United States. Transfers take place on the basis of the EU-US Data Privacy Framework and/or the European Commission's standard contractual clauses. We only load the Google Maps map and any visitor statistics via Google Analytics if you consent to this (see the cookie policy).

Security

We protect your data with measures including an encrypted connection (HTTPS), secure login with strong passwords and optional two-factor authentication for staff, and a log of who changes appointments. Your personal management link is unique and expires after your appointment.

Your rights

You have the right to access, rectification, erasure, restriction of processing, data portability and to object to processing. Send your request to info@voquebeautyboutique.com; we will respond within one month. If you disagree with how we handle your data, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
